The 5 prompts I use every single week

You don't need to learn AI. You need five good prompts. Here are mine, word for word. Paste them into ChatGPT, Claude or Gemini and swap in your own details.

Tip: anything in [brackets] is where your stuff goes.

The weekly report in 10 minutes

Turn messy notes into a clean status update · Saves ~75 minutes a week

You are my chief of staff. Below are my rough notes from this week. Turn them into a weekly update with four sections: Wins, In Progress, Blockers (with who can unblock each one), and Next Week. Keep each bullet under 20 words, lead with numbers where I gave them, and flag anything that sounds like a risk. Ask me up to 3 questions if something important is missing.

My notes:

How I use it: I dump everything into one note during the week. Friday afternoon I paste it in, answer its questions, and send.

Reply to any email in your voice

Stop writing the same replies from scratch · Saves ~2 hours a week

Here are 3 emails I've written that sound like me:
[paste 3 of your sent emails]

Study my tone, length and sign-off. Now draft a reply to the email below in that same voice. Keep it shorter than the original, answer every question it asks, and end with one clear next step.

Email to reply to:

How I use it: I saved my 3 examples in a note so I only paste the new email each time.

Meeting notes to action items

Never lose a follow-up again · Saves ~30 minutes per meeting

Below is a transcript or my notes from a meeting. Give me: 1) a 3-sentence summary, 2) a table of action items with Owner, Task and Due date (write 'not set' if nobody said one), 3) decisions that were made, and 4) open questions nobody answered. Then draft a short follow-up email to the attendees with the action items.

Notes:

How I use it: I paste the auto-transcript from my video call, then send the follow-up email before I even leave my desk.

A week of social captions in 5 minutes

Post consistently without staring at a blank screen · Saves ~90 minutes a week

I run [describe your business in one line] for [describe your customer]. Write 5 social media captions for this week, one per weekday. Mix: 2 helpful tips, 1 behind-the-scenes, 1 customer question answered, 1 soft offer. Each caption: a first line that stops the scroll, under 80 words, one clear call to action, 3 relevant hashtags. Write like a real person, not a brand.

How I use it: I generate on Monday, tweak two words in each, and schedule them all at once.

5

Triage a messy to-do list

Know exactly what to do first · Saves ~20 minutes every morning

Here is everything on my plate:
[paste your list]

Sort it into: Do today (max 3), Schedule this week, Delegate (say to whom, if obvious), and Drop. For the 'Do today' items, break each into its first 15-minute step. Be honest if my list is unrealistic.

How I use it: Every morning with my coffee. The 'be honest' line is the magic part.
